Providers & data locations
Not every provider receives every record. This page explains which service supports each function. A connected mailbox or map may also fall under your company’s or user’s own agreement.

Google Cloud — hosting and backups
The primary database and our cloud backups are configured in Google Cloud’s Belgian europe-west1 region. They contain the data needed for your workspace. Infrastructure is located in Belgium; this does not mean that every supporting service or legal access issue is confined to Belgium.
Cloudflare — connectivity and security
Provides connectivity to the service and security functions. IP addresses, connection details and, depending on the function, request content may be processed. Its network is global; we do not promise exclusively Belgian processing for this service.
Resend — service email
Sends invitations and account messages, using the recipient’s address, message content and delivery information. It does not automatically receive every complaints mailbox. Resend and its suppliers may operate outside the EEA, including in the United States.
Firebase and Apple — push notifications
Use device or installation identifiers and technical notification data to deliver alerts. Lock-screen messages are generic; case details belong behind sign-in. Firebase and Apple provide international services. You can disable notifications on your device.
Optional Google charging-point maps
After confirmation, the website uses Maps Embed or a compatible native app uses Maps SDK. Google receives public charging-point coordinates and technical request data, not employee locations, vehicle movements or delivery addresses from this feature. External navigation remains a separate choice.
Optional Google Sheets, Drive and Calendar exports
Available only to authorised Owners or Managers after company-specific confirmation and separate Google authorisation. The employee statement sends names, selected period and counts; the calendar sends registration and saved maintenance, inspection and insurance dates. Each action creates a new file or calendar in the chosen Google account, without sharing by Drivaxo. No documents or passwords are sent.
The connection requests only drive.file or calendar.app.created, not all files, all calendars or Gmail. Drivaxo does not read existing files or calendars through it. Access tokens stay temporarily in browser memory; no access or refresh tokens are stored on our server. Google account settings and terms govern the exported copies. Revoking access or deleting a Drivaxo record does not remove earlier Google exports; the company must manage those copies and later sharing.
Services you choose to use
- Google or Microsoft for an authorised complaints mailbox: necessary correspondence and technical access. Location and terms also depend on the customer’s mailbox plan.
- OpenFreeMap when opening a map: IP address and requested map area. With permission, a nearby search may also send your location to Drivaxo.
- Google Maps when opening external navigation: the chosen destination and data processed by that service itself.
Safeguards and changes
Provider documents describe their general terms, not automatically every setting of your workspace. Contact [email protected] for the applicable parties, processing countries and transfer safeguards for your agreement. Copies of applicable safeguards can be provided with necessary protection for confidential information.
The processing agreement covers prior notice of new subprocessors and the opportunity to object. Choosing a regional host does not replace those arrangements.
